Creating a Meeting Series #
Meeting Series are the foundation of collaboration and accountability within Propel. A meeting series brings together a group of people who meet on a recurring basis and keeps all meeting content, initiatives, scorecards, tasks, resources, and discussions organized in one place.
Creating a New Meeting Series #
To create a meeting series:
- Navigate to the Meetings module.
- Click New Meeting Series in the upper-right corner.
- Complete the meeting details.
Meeting Information #
When creating a meeting series, you will define:
Meeting Title
- The name of the meeting series.
Owner
- The individual responsible for managing the meeting series.
Editors
- Individuals who can make changes to meeting content.
- Editors can:
- Edit scorecards
- Create and edit initiatives
- Manage roadmap items
- Add resources
- Participate in collaboration and communication tools
Attendees
- View-only participants.
- Attendees can view meeting content but cannot make changes.
Meeting Type #
Choose whether the meeting is:
- Virtual
- In-Person
For virtual meetings, add a meeting link. You may also save the link as your default meeting link for future meeting series.
Pinning Initiatives and Scorecards #
During setup, you may choose to pin:
- Initiatives
- Scorecards
Multiple initiatives and multiple scorecards can be attached to the same meeting series.
These fields are optional and can be added later after the meeting series has been created.
Setting Meeting Cadence #
After creating the meeting series, you’ll configure its cadence.
A cadence determines how often the meeting occurs.
Examples include:
- Weekly meetings
- Bi-weekly meetings
- Monthly meetings
- Quarterly meetings
Examples:
- Every Friday at 3:00 PM
- First Friday of each month
- Last Friday of each month
- The 29th day of every month
Once configured, click Save.
Multiple Cadences #
A single meeting series can contain multiple recurring schedules.
For example:
- Every Tuesday at 10:00 AM
- First Friday of every month
Instead of creating separate meeting series, simply add another cadence to the existing meeting series.
To do this:
- Open the meeting series.
- Select Add Cadence.
- Configure the additional schedule.
- Save.
One-Time Meetings #
You can also schedule one-time meetings between recurring meetings.
One-time meetings are useful when:
- An urgent issue needs attention
- A special planning session is required
- Additional discussion is needed before the next scheduled meeting
One-time meetings remain connected to the existing meeting series, preserving all meeting history, initiatives, scorecards, tasks, and resources.
Best Practice #
Do not create a new meeting series every time a group meets.
Instead, maintain a single meeting series for each recurring group of attendees and use:
- Recurring cadences
- Additional cadences
- One-time meetings
This keeps all meeting-related work, communication, initiatives, roadmap items, tasks, and resources in one location and prevents information from becoming fragmented across multiple meeting series.
For example, if your Sales Huddle meets weekly and occasionally requires an additional meeting, schedule the extra meeting within the existing Sales Huddle meeting series rather than creating a new one.
Keeping all work inside a single meeting series creates better visibility, accountability, and continuity for the team.
