Adding Guest Participants to a Meeting Series #

Before you add a guest, it’s important to understand what this means for access and security.


What Happens When You Add a Guest #

  • A guest must already be an active user in Propel Your Business. If they don’t have an account, your company admin will need to invite and activate them first.
  • Once added to a meeting series, the guest automatically gains visibility into:
    • Company goals shared in that meeting
    • Initiatives and roadmap items pinned to the meeting
    • Tasks connected to the meeting series
    • Resources shared with participants

This means they’ll see all documentation stored in that series—not just what you plan to show.


Option 1: Add Them Directly #

  • Navigate to the Meeting Dashboard.
  • Open the meeting series.
  • Add the guest as a participant.
  • They’ll gain full access until you remove them later.
  • You can remove them at any time by editing the meeting series and deselecting their name.

Use this method sparingly, only when you want the guest to retain full access during the time they’re added.


Option 2 (Recommended for Security): Share via Calendar Invite #

If you only need the guest to join a single conversation:

  • Send them the calendar meeting link (Zoom, Teams, etc.) outside of Propel Your Business.
  • Share your screen to walk through goals, initiatives, or dashboards.

This approach ensures they can see only what you choose to show without being granted lasting access to sensitive data.
