Understanding Company Statuses #
When creating or managing a company, you must assign a company status.
Company statuses help organize your portfolio and determine how a company can interact with the platform.
There are three available statuses:
- Active
- Pending
- Inactive
These statuses correspond directly to the company categories displayed on the Portfolio page.
Active Companies #
Active companies are currently using the platform.
When a company is marked as Active:
- Company Admins can be invited
- Company Users can be invited
- The company can fully access and use the platform
- Advisors and supervisors can actively work with the company
Most client companies should be maintained in Active status while they are engaged and using the software.
Pending Companies #
Pending companies are typically used for prospects or companies that are still in the onboarding or sales process.
When a company is marked as Pending:
- The company appears in the Pending section of the portfolio
- Company Admins cannot be invited
- Company Users cannot be invited
- The company instance remains unavailable to the client
Pending company instances can remain in Pending status for up to 30 days.
After 30 days, the company instance becomes uneditable until its status is changed.
Pending companies are commonly used for:
- Prospective clients
- Demonstration environments
- Companies preparing for onboarding
- Opportunities currently moving through the sales process
Inactive Companies #
Inactive companies are no longer actively using the platform.
This status is typically used when:
- A client engagement has ended
- A company is no longer using the software
- Historical data needs to be retained without active access
When a company is marked as Inactive:
- Company Admins cannot access the company
- Company Users cannot access the company
- The company remains available for historical reference
- Firm users can still view historical information as permitted
Inactive status allows firms to retain company records while removing active access.
Changing a Company’s Status #
To change a company status:
- Navigate to your Portfolio.
- Locate the company you wish to update.
- Click the three-dot menu on the right side of the company record.
- Select Edit Company.
- Update the company status.
- Click Save.
The company will immediately move to the appropriate section of the portfolio based on its new status.
Choosing the Right Status #
Use Active when: #
- The company is actively engaged
- Users need access to the platform
- Ongoing advisory work is taking place
Use Pending when: #
- The company is still a prospect
- Onboarding has not yet begun
- You are preparing a company before granting access
Use Inactive when: #
- The engagement has ended
- The company is no longer using the platform
- Historical information should be retained without user access
Best Practices #
We recommend:
✓ Keeping active clients in Active status
✓ Using Pending only for prospects and pre-onboarding companies
✓ Moving former clients to Inactive rather than deleting them
✓ Reviewing Pending companies regularly to prevent stale records
✓ Updating company status promptly as client relationships change
Maintaining accurate company statuses ensures cleaner portfolio management, better reporting, and a more organized client experience.
