Using the Collaboration Tool on Roadmap Items #

The Collaboration Tool is designed to help teams communicate, track progress, and keep all related work connected while executing on specific roadmap items.

Where to Find the Collaboration Tool #

The Collaboration Tool is available in two places:

  • Initiatives
    • Navigate to Initiatives
    • Open a specific Roadmap Item
  • Meetings
    • Open a meeting
    • Go to Initiatives
    • Select a Roadmap Item

In both locations, the collaboration panel appears directly within the roadmap item.

Purpose of the Collaboration Tool #

The Collaboration Tool provides a third layer of context by connecting:

  • Conversations
  • Tasks
  • Resources

directly to a single roadmap item.

This ensures that all discussion and execution related to that initiative lives in one place.

Communicating with Team Members #

On the right-hand side of the roadmap item, you can:

  • @mention individuals
  • Communicate directly within the software

When someone is mentioned:

  • The message appears in their Notifications
  • Activity is logged on the roadmap item

This creates visibility into progress and ongoing work without relying on external communication tools.

Activity Tracking #

The collaboration panel shows:

  • All activity related to the roadmap item
  • Updates from comments, tasks, and resources

You can choose to:

  • Show activity
  • Hide activity

This allows you to control how much detail is visible while working.

Managing Tasks from the Collaboration Tool #

From the collaboration panel, you can:

  • Link an existing task to the roadmap item
  • Create a new task directly from the roadmap item
  • Assign tasks to specific individuals

Once assigned:

  • The task appears in the activity log
  • Ownership and progress are clearly tracked

Connecting Resources #

Under Resources, you can:

  • Attach existing resources to the roadmap item
  • Add new resources
  • Assign editors and viewers

This ensures that documents, files, and reference materials remain tied to the initiative they support.
