Removing and Archiving Resources #
There are two different ways to remove a resource, depending on whether you want to remove it from a meeting series or retire it completely from active use.
Removing a Resource from a Meeting Series #
If you no longer want a resource to appear in a particular meeting series, you can simply unpin it.
While inside the meeting series, click Resources on the right-hand side of the meeting screen and select Pin Resources.
You can view:
- My Resources – Resources you own.
- All Resources – Resources you have access to.
Locate the resource you want to remove and select Unpin.
Unpining a resource removes it from that meeting series only. The resource itself remains available in the Resource Dashboard and can still be accessed by users who have permission to view it.
Archiving a Resource #
If a resource is no longer needed across the organization, you can archive it.
Navigate to the Resources module and locate the resource you wish to archive.
Click the three dots on the right-hand side of the resource and select Archive.
Archiving removes the resource from active views and dashboards, helping keep your Resource Dashboard organized and focused on current content.
Why Archive Instead of Delete? #
Propel uses archiving rather than deletion to protect important information and prevent accidental data loss.
Archived resources can be restored at any time if:
- A resource was archived by mistake.
- The document becomes relevant again.
- Historical information needs to be referenced.
This approach helps maintain organizational knowledge while reducing clutter in active workspaces.
Viewing Archived Resources #
To view archived resources, use the filters at the top of the Resource Dashboard.
Select Archived to display all archived resources.
From this view, you can review previously archived resources and restore them if needed.
Restoring an Archived Resource #
If an archived resource needs to become active again:
- Navigate to the Resource Dashboard.
- Filter the view to Archived Resources.
- Locate the resource you want to restore.
- Select Restore.
The resource will immediately return to your active Resource Dashboard and can once again be pinned to meeting series and shared with users.
Best Practices #
- Unpin resources when they are no longer relevant to a specific meeting series.
- Archive outdated resources rather than deleting them.
- Periodically review archived resources to determine whether they should remain archived or be restored.
- Use archiving to keep resource dashboards clean and organized while preserving important historical information.
By using unpinning and archiving appropriately, teams can maintain a well-organized resource library without losing access to valuable information.
