Using the Collaboration Tool #

The Collaboration Tool makes it easy to communicate with your team without leaving the context of your work. It is available throughout the Propel platform, allowing you to leave comments, ask questions, and keep conversations connected to the specific item being discussed.

Sending a Message #

Wherever you see the Collaboration icon, you can:

  1. Click the collaboration icon.
  2. Type your message.
  3. Mention one or more users by selecting their names.
  4. Send the message.

The conversation remains attached to that specific item, creating a permanent discussion history for future reference.


Notifications #

When you mention a user in a collaboration message:

  • An in-app notification is sent immediately.
  • An email notification is also sent if the recipient has email notifications enabled in their account settings.

This helps ensure important discussions are seen promptly while keeping all communication organized within Propel.


Conversation History #

Every collaboration thread remains attached to the item where it was created.

After comments have been added:

  • The collaboration icon displays the number of comments.
  • The icon is highlighted, making it easy to identify items with active discussions.
  • Anyone with access to the item can view the conversation history.

This provides context for decisions and keeps important communication from getting lost in email or chat.


Where You’ll Find the Collaboration Tool #

The Collaboration Tool is available throughout the platform, including:

  • Goals
  • Scorecards
  • Initiatives
  • Roadmap Items
  • Resources

This allows conversations to stay connected to the work being completed rather than taking place in separate communication tools.


Collaborating on Roadmap Items #

Roadmap items include a dedicated collaboration workspace that allows you to manage execution in one place.

From a roadmap item, you can:

  • Add or respond to collaboration messages.
  • Create and assign tasks.
  • Link existing tasks.
  • Attach resources and supporting documentation.

Keeping discussions, tasks, and resources together provides complete context for everyone working on the initiative.


Best Practices #

  • Mention specific team members when action or feedback is needed.
  • Keep conversations attached to the relevant goal, initiative, resource, or roadmap item instead of using email whenever possible.
  • Review existing comments before posting to avoid duplicate discussions.
  • Use collaboration to document important decisions, updates, and context so future team members can understand the history of the work.

Using the Collaboration Tool helps centralize communication, improve accountability, and ensure important conversations remain connected to the work they support.
