Pinning Resources to a Meeting Series #
Resources can be pinned to meeting series to make important documents, links, and reference materials easily accessible during meetings.
There are two ways to pin a resource to a meeting series.
Option 1: Pin a Resource from the Resource Dashboard #
Navigate to the Resources module and locate the resource you want to pin.
Select Edit Resource and choose the meeting series or meeting series where the resource should be available.
Save your changes, and the resource will be pinned to those meetings.
Option 2: Pin a Resource from Within a Meeting #
While inside a meeting, click the Resources button on the right-hand side of the screen.
Select Pin Resource.
A list of resources you own or have access to will appear. From here, you can:
- Pin resources to the meeting series
- Unpin resources from the meeting series
- Search and manage available resources
Only resources that you own or have been granted access to will appear in the list.
Sharing Resources Through Meeting Series #
When a resource is pinned to a meeting series, Propel will ask whether you want to share the resource with all participants in that meeting series.
If you choose to share the resource:
- All meeting participants are automatically added as Viewers of the resource within Propel.
- The resource becomes visible within the meeting series.
- Participants can quickly access the resource during meetings.
If you choose not to share the resource, meeting participants will not automatically receive access.
Important Permission Considerations #
Pinning a resource to a meeting series can expand visibility to everyone participating in that meeting.
Before pinning a resource, consider:
- Should all meeting participants have access to this resource?
- Does the document contain sensitive information?
- Is the resource intended for the entire group or only a few individuals?
Remember that resource permissions within Propel are separate from permissions in the original document source, such as Google Drive, Microsoft OneDrive, or SharePoint.
Even if users can see a resource in Propel, they must still have permission to access the document in its original storage location.
Best Practices #
- Pin frequently used documents to recurring meeting series.
- Remove outdated resources to keep meetings organized.
- Review sharing permissions before pinning sensitive resources.
- Use meeting-specific resources to reduce time spent searching for documents during meetings.
- Ensure document permissions are configured properly in both Propel and the source document system.
Properly pinned resources help teams stay organized, reduce meeting preparation time, and ensure everyone has access to the information they need.
