Creating Tasks #
Tasks can be created in several places throughout Propel, making it easy to capture action items wherever work is happening.
Regardless of where a task is created, the process and functionality remain the same.
Creating a Task from the Task Module #
The most direct way to create a task is through the Task module.
- Navigate to Tasks using the left-hand navigation menu.
- Click Add Task in the upper-right corner.
- Complete the task details.
- Assign the task and save.
The task will immediately appear on the task dashboard and be visible based on user permissions.
Creating a Task During a Meeting #
Tasks can also be created directly within a meeting.
- Open the meeting series.
- Navigate to the Tasks section of the meeting agenda.
- Click Add Task.
- Complete the task details and save.
This is a common way to capture action items and commitments that arise during discussions.
Creating a Task from a Roadmap Item #
Tasks can be linked directly to roadmap items within an initiative.
- Open the initiative.
- Select the roadmap item.
- Add a task from the roadmap item’s collaboration area.
- Assign the task and save.
Linking tasks to roadmap items helps break larger projects into smaller, actionable steps while maintaining visibility into overall progress.
Task Notifications #
Whenever a task is assigned to a user, that individual receives an in-app notification.
This helps ensure accountability and keeps team members informed of new responsibilities.
Task Fields #
When creating a task, you can complete the following fields:
Task Name #
A short title describing the action that needs to be completed.
Notes #
Additional details, instructions, or context related to the task.
Meeting Series #
Optionally pin the task to a meeting series for visibility during meetings.
Roadmap Item #
Optionally link the task to a roadmap item within an initiative.
Note: Both the Meeting Series and Roadmap Item fields are optional.
Assigned To #
Select the individual responsible for completing the task.
Tasks can be assigned to another user or to yourself.
Due Date #
Set the target completion date for the task.
Link or URL #
Attach a website, document, file, or other resource related to the task.
Best Practices #
For the best results:
- Assign every task to a specific owner.
- Include clear notes and expectations.
- Set realistic due dates.
- Link tasks to roadmap items whenever they support a larger initiative.
- Create tasks during meetings to capture commitments while they are being discussed.
- Review tasks regularly to maintain accountability and progress.
Tasks are most effective when they represent clear, actionable next steps with defined ownership and deadlines.
