Learning: Workflow Overview

1 min read

Creating and Managing Workflows #

The Workflows tab within the Learning module allows you to build and document processes that move through multiple steps, decisions, tasks, approvals, and Playbooks.

Your Workflow dashboard displays the Workflows you have access to, along with their current status and the departments they have been shared with.

Create a New Workflow #

To create a Workflow:

  1. Navigate to Learning → Workflows.
  2. Click Add Workflow in the upper-right corner.
  3. Enter a title for the Workflow.
  4. Select the departments that should have access.
  5. Select the appropriate status.
  6. Create the Workflow.

Workflow statuses allow you to identify where the process currently stands, such as Draft, In Review, Approved, Needs Updated, or Needs Owner.

Build Your Workflow #

Once created, you will begin with a blank Workflow and can start adding the steps of your process.

Different types of steps can be added, including:

  • Playbooks
  • Tasks
  • Decision Branches
  • Approvals/Sign-Offs

This allows you to map both simple processes and more complex workflows that change based on decisions or required approvals.

Add Playbooks to a Workflow #

A Workflow step can be connected to an existing Playbook.

If the Playbook you need has not yet been created, you can name the Playbook within the Workflow and use it as a placeholder. You do not need to stop building the Workflow to complete the Playbook first.

The new Playbook will appear under Unassigned in the Playbooks tab with zero steps and remain in draft until it is built out.

This allows you to map the entire Workflow first and return later to develop the detailed Playbooks associated with each part of the process.

Create Decision Branches #

Workflows can include Decision Branches when the next step depends on an outcome.

For example, a decision can create a Yes/No branch, with different steps following each response.

This allows you to document processes that do not always follow the same path.

Edit Workflow Steps #

Select an individual step within a Workflow to make changes.

From a step, you can:

  • Edit the step.
  • Add another step after it.
  • Move the step within the process.

Continue adding and organizing steps until the complete process has been documented.

Manage Workflow Access #

Your Workflow dashboard only displays Workflows you have permission to access.

From the dashboard, you can see:

  • Workflow name
  • Current status
  • Departments with access

If you do not have access to a Workflow, it will not appear on your dashboard.

Edit or Duplicate a Workflow #

From the Workflow dashboard, you can edit an existing Workflow and its details.

You can also Duplicate a Workflow to use an existing process as the starting point for a new one, then update the individual details and steps as needed.

Workflows provide a visual way to document how work moves through your organization while connecting the tasks, decisions, approvals, and Playbooks that support each process.
