Managing Plan Sharing & Permissions #
The Share feature in the Plan module allows you to control who can view or edit each section of your company’s strategic plan. Permissions can be configured separately for every planning tab, giving you complete control over which information is available to different users.
You can update permissions as you build your plan or configure all sections at once.
Accessing the Share Settings #
From any tab within the Plan module:
- Click Share in the upper-right corner.
- Review the list of users in your company.
- Update permissions as needed.
- Lock the settings when you are finished.
The Share window displays every Company Admin and Company User in your organization.
Permission Levels #
Each user can be assigned one of three permission levels for each section of the Plan module.
Editor #
Editors can:
- View the content.
- Make changes.
- Save updates.
This permission is typically assigned to Company Admins or leadership team members responsible for maintaining the strategic plan.
Viewer #
Viewers can:
- Access and read the information.
- Cannot make changes.
This is ideal for sharing your strategic plan with employees while preventing accidental edits.
Hidden #
Hidden users:
- Cannot view the section.
- Will not see the tab within the Plan module.
Use this option for confidential planning information that should only be visible to selected team members.
Managing Permissions #
To update permissions:
- Open the Share window.
- Unlock editing if the permissions are currently locked.
- Select the appropriate permission (Editor, Viewer, or Hidden) for each user.
- Repeat for each planning section as needed.
- Lock the permissions when you are finished.
Permissions can be managed independently for every Plan module section, including:
- Foundation
- Strategy
- Performance
- Analysis
- Health
- Value
This flexibility allows you to share only the information that is appropriate for each member of your organization.
Locking Permission Settings #
After updating permissions, lock the Share settings to help prevent accidental changes.
You can unlock the permissions at any time if additional updates are needed.
Best Practices #
- Limit Editor access to users responsible for maintaining the strategic plan.
- Use Viewer access to keep employees informed while protecting strategic content from accidental edits.
- Use Hidden for confidential planning sections that should only be available to leadership.
- Review permissions whenever new users are added to your company or when responsibilities change.
- Audit permissions periodically to ensure team members have the appropriate level of access.
